Job Description

The Medical Receptionist is a pivotal role within our healthcare facility, serving as the first point of contact for patients, visitors, and healthcare professionals. This position requires a friendly, professional, and organized individual who can manage multiple tasks with ease. The Medical Receptionist is responsible for ensuring a smooth patient flow by efficiently managing the front desk operations. This role demands a detail-oriented person who is excellent at communication, both in person and over the phone, to provide exceptional service to our patients and visitors. The ideal candidate will have experience in a medical or healthcare setting, possess strong organizational skills, and have a genuine compassion for helping others.


Responsibilities

  • Greet and welcome patients and visitors with a positive attitude and professionalism.
  • Manage front desk activities including answering telephone calls and emails promptly.
  • Schedule and confirm patient appointments using electronic medical records systems.
  • Verify patient insurance information and collect any necessary copayments at check-in.
  • Maintain accurate patient records by updating personal and insurance information.
  • Facilitate smooth communication between the medical staff and patients as needed.
  • Coordinate with medical staff to relay messages and address patient inquiries effectively.
  • Prepare patient files, sorting, and managing documents as per HIPAA regulations.
  • Assist patients in filling out necessary forms and provide clear guidance as required.
  • Ensure the reception area is clean, organized, and up to health safety standards.
  • Handle administrative tasks such as filing, data entry, and inventory management.
  • Address and resolve patient concerns by providing information or escalating appropriately.

Requirements

  • High school diploma or equivalent; additional education is a plus.
  • Proven experience as a receptionist, preferably within a healthcare setting.
  • Proficient in using electronic medical records and scheduling systems.
  • Excellent verbal and written communication skills in English.
  • Strong organizational skills with attention to detail and ability to multitask.
  • Empathetic, patient-focused communication style and problem-solving abilities.
  • Knowledge of medical terminology and basic healthcare processes.
