Job Description

The Front Office Associate plays a pivotal role in ensuring that visitors and customers receive a warm and professional welcome. This position is the first point of contact for patrons, and the associate is responsible for delivering excellent customer service and managing various administrative tasks. A successful Front Office Associate should have exceptional communication skills, a likable personality, and the ability to manage a variety of administrative duties effectively. As the face of the company, this individual must consistently uphold the company's standards and values. The role requires diligence, discretion, and a proactive attitude to handle all types of customer interactions and inquiries efficiently and promptly.


Responsibilities

  • Greet and welcome guests, clients, and employees with a friendly demeanor.
  • Manage all incoming calls, direct calls to appropriate departments, and take messages.
  • Maintain the reception area, ensuring it is always clean and organized.
  • Assist with various administration tasks, including mail sorting and distribution.
  • Schedule and coordinate meetings and appointments for staff members.
  • Provide accurate information and respond to inquiries about company services.
  • Assist in the onboarding process for new employees with necessary information.
  • Keep detailed and accurate records of all visitors for security purposes.
  • Manage inventory of office supplies and order new items as required.
  • Prepare and process documents, reports, and presentations efficiently.
  • Monitor visitor access and issue passes when necessary for security.
  • Collaborate with the office administration team to ensure smooth operation.

Requirements

  • High school diploma or equivalent; additional qualifications are a plus.
  • Proven experience as a Front Office Associate or similar administrative role.
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent verbal and written communication skills are essential.
  • Proficiency in Microsoft Office Suite including Word, Excel, and Outlook.
  • Ability to maintain confidentiality and adhere to office policies and procedures.
  • Experience with phone systems and office equipment is highly desirable.
