Job Description

The Export Documentation Executive plays a crucial role in facilitating smooth global trade by ensuring all necessary documentation for the export process complies with international and national laws and regulations. This position requires meticulous attention to detail and excellent organizational skills to prepare, review, and manage shipping documents, invoices, packing lists, certificates of origin, and other critical documentation. The Export Documentation Executive maintains communication with various stakeholders, including clients, customs officials, and freight forwarders, to ensure prompt and accurate processing of shipment paperwork. A successful candidate will have strong knowledge of international trade laws, strategic oversight of export processes, and the ability to streamline document flows. This role is essential for companies operating in export-heavy industries, as proper documentation is imperative to avoid delays and ensure compliance globally.


Responsibilities

  • Prepare and execute accurate and timely export documentation for shipments.
  • Review shipping documents to ensure compliance with export regulations.
  • Coordinate with customers and logistics teams to gather required documentation.
  • Ensure all documentation adheres to international trade guidelines and regulations.
  • Communicate effectively with customs officials to facilitate cargo clearances.
  • Maintain accurate records of all shipping documents and shipments processed.
  • Resolve discrepancies or issues with export documents in a timely manner.
  • Update databases with current shipment and documentation status information.
  • Verify and process product invoices for export shipment documentation.
  • Liaise with freight forwarders to ensure timely and cost-effective shipments.
  • Assist in the development or improvement of export documentation processes.
  • Stay updated on changes to export laws and adjust practices accordingly.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Minimum of 2 years’ experience in export documentation or logistics.
  • Thorough understanding of international trade and export regulations.
  • Strong organizational skills with a keen eye for detail and accuracy.
  • Excellent communication and interpersonal skills across diverse stakeholders.
  • Proficient in MS Office Suite and export-related software applications.
  • Ability to multitask and manage priorities in a fast-paced environment.
