Job Description

A Personal Assistant (PA) plays an essential role in ensuring the efficient administrative functioning of an executive’s life. This job involves providing dedicated support to high-level managers or executives by managing their schedules, organizing their communications, and undertaking various tasks to improve the efficiency of their day-to-day operations. The ideal candidate must showcase exceptional organizational skills, a high degree of discretion, and the ability to anticipate the needs of the manager. This role demands a proactive mindset, the capability to handle sensitive information, and a resourceful approach to problem-solving. Excellent communication skills and a strong sense of professional integrity are crucial in facilitating the interaction between the executive and their clients, partners, and employees.


Responsibilities

  • Manage and coordinate executive's schedule, appointments, and travel arrangements efficiently.
  • Prepare reports, presentations, and other correspondence on behalf of the executive.
  • Facilitate communication between the executive and other stakeholders, ensuring clarity and professionalism.
  • Handle sensitive and confidential information with the highest level of discretion and integrity.
  • Coordinate meetings, conferences, and executive team-building activities as required.
  • Conduct research and compile data to assist in informed decision-making for the executive.
  • Manage correspondence by responding promptly to emails, phone calls, and other information requests.
  • Organize and maintain filing systems both digitally and in hard copy form.
  • Anticipate the needs of the executive and suggest proactive measures for efficiency.
  • Liaise with internal and external parties on behalf of the executive to maintain optimal relationships.
  • Assist in special projects by providing detailed administrative support as needed.
  • Review all documentation presented to the executive for accuracy and completeness.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Proven experience as a personal assistant or in a similar role required.
  • Exceptional organizational skills with the ability to multitask efficiently and meticulously.
  • Excellent written and verbal communication skills for effective correspondence.
  • Proficiency in Microsoft Office Suite and general computer literacy needed.
  • Discretion and confidentiality must be maintained with all sensitive information.
  • Strong attention to detail and problem-solving abilities are essential.
  • Ability to work independently and prioritize tasks effectively under minimal supervision.
  • Flexibility and adaptability to changing priorities and timelines.
