Job Description

The Office Assistant position serves as a vital role within our organization, offering essential support to ensure the smooth operation of daily tasks and procedures. The successful candidate will be responsible for managing various administrative duties, including handling correspondence, maintaining files, and providing assistance to other staff members as needed. Responsibilities

  • Facilitate effective communication by managing telephone calls and directing inquiries.
  • Coordinate the scheduling and planning of meetings, including reserving meeting spaces.
  • Provide general office support such as copying, faxing, and mailing documents.
  • Monitor and procure office supplies to ensure uninterrupted availability.
  • Assist in maintaining office equipment by contacting repair services when necessary.
  • Coordinate travel and accommodation arrangements for staff members and executives.
  • Manage incoming and outgoing mail, distributing to appropriate departments or individuals.
  • Support project management tasks by assisting in creating presentations and reports.
  • Contribute to team efforts by accomplishing related tasks as needed and assigned by supervisors.
  • Ensure compliance with company policies and perform tasks following the internal protocols.

Requirements

  • High school diploma or equivalent; additional qualification is a plus.
  • Proven experience in an administrative or office assistant role is desirable.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) applications.
  • Strong organizational and time-management skills with a high level of attention to detail.
  • Excellent communication skills, both verbal and written, are crucial for this role.
  • Ability to handle sensitive information with integrity and confidentiality.
  • Demonstrated problem-solving skills and the ability to adapt to changing priorities.
