Job Description

As an Admin and Front Office Executive, you will play a crucial role in ensuring the smooth operation of day-to-day administrative tasks and front office activities. Your primary responsibility will be to manage the reception area, welcome guests, and assist with various administrative duties. You will act as the first point of contact for visitors, providing exemplary service to guests, clients, and staff. A proficient administrator, you will handle scheduling, correspondence, and office supplies management. Additionally, you will coordinate with different departments to support office functions and maintain a professional environment. Your organizational skills and attention to detail will be essential in ensuring efficient office operations.


Responsibilities

  • Greet and welcome visitors in a warm and professional manner.
  • Manage incoming phone calls, emails, and other forms of communication.
  • Oversee appointment scheduling and maintain the front desk calendar.
  • Assist with the coordination and organization of meetings and events.
  • Maintain and update office records, ensuring accurate documentation.
  • Order and manage office supplies to ensure stock availability.
  • Coordinate with facility management for office maintenance and repairs.
  • Handle administrative tasks such as data entry, filing, and correspondence.
  • Support accounting processes by preparing invoices and expense reports.
  • Manage travel arrangements and itineraries for company executives.
  • Work with the IT department to ensure the functionality of office equipment.
  • Ensure compliance with the company’s policies and procedures at all times.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Minimum of 2 years experience in a front desk or administrative role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Excellent communication and interpersonal skills are essential.
  • Strong organizational skills with the ability to multitask effectively.
  • Demonstrated ability to handle sensitive information with confidentiality.
  • Knowledge of basic accounting procedures will be an added advantage.
