Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office promptly.
  • Answer, screen, and forward incoming phone calls to relevant parties.
  • Provide accurate information in person and via phone or email.
  • Maintain security by following procedures and controlling access.
  • Order front office supplies and maintain inventory records accurately.
  • Schedule meetings and appointments efficiently, managing calendars as needed.
  • Perform clerical duties such as filing, photocopying, and transcribing documents.
  • Handle billing and record expenses for office supplies and services.
  • Keep updated records of office visitors and security logs safely.
  • Ensure the reception area is tidy and presentable, with all necessary materials.
  • Coordinate office activities and provide administrative support when necessary.

Requirements

  • Proven work experience as a Receptionist or similar role in an office.
  • Proficiency in Microsoft Office Suite and general computer skills.
  • Professional attitude and strong verbal communication skills required.
  • Excellent organizational and time-management skills crucial for this role.
  • Ability to be resourceful and proactive in dealing with issues promptly.
  • High school diploma; additional certification in Office Management is a plus.
  • Familiarity with office machines such as photocopiers and facsimile systems.
