Job Description

The role of a Receptionist is critical to the smooth operation of any organization, serving as the first point of contact for clients, visitors, and team members. In this position, you are the face and voice of the company, responsible for creating a positive first impression. You will manage communications efficiently, handle inquiries with professionalism, and ensure that administrative tasks are completed accurately and timely. The position requires excellent communication skills, a customer-centric approach, and the ability to multitask in a fast-paced environment. As a key support function, you will work closely with different departments to maintain seamless workflow and contribute to the overall efficiency of the office.


Responsibilities

  • Greet all visitors and clients warmly and assist them with inquiries.
  • Answer, screen, and direct phone calls to appropriate individuals in a timely manner.
  • Maintain a clean and welcoming reception area to ensure great first impressions.
  • Schedule and coordinate client meetings, appointments, and room bookings efficiently.
  • Manage inbound and outbound mail and courier services and log records accurately.
  • Handle administrative tasks such as data entry, filing, and photocopying documents.
  • Assist in maintaining office security by following safety procedures and controlling access.
  • Compile and distribute company communications and memos to team members promptly.
  • Coordinate with various departments for office supplies and inventory management duties.
  • Provide support to other administrative staff with overflow work when necessary.
  • Prepare reports, letters, and correspondence for internal and external communication.
  • Facilitate communication between staff members and outside contacts effectively.

Requirements

  • High school diploma or equivalent qualification required for this role.
  • Proven experience working as a receptionist or in a similar role.
  • Exceptional organization and time management skills are essential for multitasking.
  • Excellent verbal and written communication skills to handle inquiries professionally.
  • Proficiency in Microsoft Office Suite and experience with office equipment.
  • Ability to maintain confidentiality of sensitive information at all times.
  • Strong customer service skills with a positive and friendly attitude.
