Job Description

The Receptionist plays a crucial role in establishing a welcoming atmosphere in our office, serving as the first point of contact for clients, customers, and visitors. This position requires an individual who is highly organized, friendly, and capable of multitasking in a fast-paced environment. An effective Receptionist is not only efficient in handling phone calls and visitor inquiries but also demonstrates excellent communication and interpersonal skills. The ideal candidate will possess an attention to detail and a proactive attitude. They should ensure the front desk and common areas are orderly and presentable at all times, helping maintain the company's professional image.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person or department efficiently.
  • Answer, screen, and forward incoming phone calls promptly and politely.
  • Receive, sort, and distribute daily mail and deliveries accurately.
  • Maintain office security by following safety procedures and controlling access.
  • Update calendars and schedule meetings when necessary for staff members.
  • Assist in preparing meeting and training rooms before use by employees.
  • Ensure reception area is tidy and presentable with all necessary stationery.
  • Provide basic and accurate information in-person and via phone or email.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Keep updated records of office activities, expenses, and visitors’ logs.
  • Support the management team with administrative tasks as required.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and strong typing skills required.
  • Solid written and verbal communication skills in English.
  • Excellent organizational skills with strong attention to detail.
  • Ability to multitask and handle stressful situations professionally.
  • Customer service attitude with a friendly and proactive disposition.
  • High school diploma; additional certification in Office Management is a plus.
