Job Description

The Front Office Associate plays a crucial role in establishing the first impression of an organization. This position is the face of the company and involves interacting with clients, customers, and office personnel regularly. Excellent customer service skills, a welcoming demeanor, and a proactive attitude are key qualities that define an effective Front Office Associate. You will be responsible for managing the reception area efficiently, ensuring all administrative tasks are completed accurately and delivered with high quality and in a timely manner. The ability to multitask and communicate effectively will be essential to handle the dynamic nature of this role. As a vital connection between clients and the company's internal operations, the Front Office Associate ensures that all interactions are handled positively, contributing to an overall positive customer and employee experience.


Responsibilities

  • Welcome visitors warmly and direct them to appropriate personnel or locations.
  • Answer, screen, and forward incoming calls, providing information as needed.
  • Handle daily transactions, inquiries, and requests from clients and employees efficiently.
  • Maintain reception and waiting areas by keeping them neat and presentable.
  • Assist in scheduling appointments, meetings, and conference room bookings.
  • Manage incoming and outgoing mail and courier services accurately and on time.
  • Coordinate office services and equipment maintenance requests as necessary.
  • Develop and maintain electronic and physical filing systems for easy accessibility.
  • Collect payments, distribute invoices, and manage petty cash transactions.
  • Ensure compliance with office protocols, security, and safety procedures.
  • Contribute to team meetings by providing insights into process improvements.
  • Manage multiple administrative tasks, demonstrating competence and reliability.

Requirements

  • High school diploma or equivalent; associate degree preferred in hospitality or administration.
  • Proven experience in front office management or a customer service role.
  • Excellent communication skills, both written and verbal, with clients and colleagues.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment operation.
  • Strong organizational skills with an ability to manage and multitask efficiently.
  • Polite, enthusiastic, and positive attitude paired with professionalism.
  • Ability to handle sensitive information with confidentiality and discretion.
