Job Description

The role of Front Desk cum Admin Executive is a crucial blend of administrative proficiency and customer service excellence, designed to create a welcoming environment for clients and ensure that administrative duties are handled efficiently. This position serves as the first point of contact for visitors and plays a pivotal role in ensuring seamless operations within the organization. Responsibilities

  • Greet and welcome visitors, ensuring a hospitable and professional reception area.
  • Answer and direct phone calls to the appropriate department or individual promptly.
  • Manage incoming and outgoing correspondence, including emails and mail distribution.
  • Maintain an organized and tidy front desk area to provide a welcoming environment.
  • Assist in scheduling and coordinating meetings, appointments, and conference room bookings.
  • Handle visitor management by recording guest entries and issuing visitor badges as necessary.
  • Ensure the supply of office stationery and oversee reorder processes when needed.
  • Support administrative tasks, including data entry, file management, and documentation.
  • Monitor and manage office supplies inventory and place orders as required.
  • Liaise with facility management regarding any maintenance or repair issues.
  • Provide support during company events, meetings or any logistical requirements that arise.
  • Coordinate travel arrangements and prepare travel schedules when required by executives.

Requirements

  • High school diploma or equivalent; bachelors degree is a plus.
  • Proven experience as a front desk representative or relevant role in administration.
  • Proficiency in Microsoft Office Suite and experience with other office equipment.
  • Strong verbal and written communication skills, with an emphasis on customer service.
  • Ability to multi-task, prioritize, and manage time effectively in a busy environment.
  • Familiarity with office management procedures and basic accounting principles.
  • Professional appearance and attitude, with a welcoming and positive persona.
