Job Description

As a Document Controller, you play a pivotal role in the systematic organization and management of all project documents, ensuring that accurate and up-to-date records are maintained for seamless operations. Your organizational skills will be crucial for managing the flow of documents, and facilitating effective communication and collaboration across various departments. You will be at the forefront of overseeing the distribution and retrieval of documents, helping to uphold project standards and compliance regulations. Additionally, you will be responsible for archiving decisions, ensuring all documents are traceable and that the filing systems reflect the latest structuring protocols. In our fast-paced and data-driven environment, your meticulous attention to detail and proactive management of document processes will support the entire project lifecycle from inception to completion.


Responsibilities

  • Ensure all project documents are accurately controlled, distributed, and filed.
  • Implement efficient document management systems, both digital and manual.
  • Maintain the security and confidentiality of confidential documents and data.
  • Facilitate team members and departments in document retrieval processes.
  • Update and maintain document control practices to enhance project workflows.
  • Review and verify documents for completeness and compliance with company standards.
  • Coordinate document exchange between necessary internal and external parties.
  • Lead the development and implementation of document control procedures.
  • Prepare and distribute project document transmittals and status reports.
  • Assist in auditing document management policies to ensure continuous improvement.
  • Archive documents effectively, ensuring clarity in storage and retrieval methods.
  • Train staff on document control protocols and best practices when necessary.

Requirements

  • Bachelor’s degree in business administration, management, or related field.
  • Minimum of 3 years' experience in document control or a similar role.
  • Familiarity with document management systems and relevant software tools.
  • Proficient in Microsoft Office Suite, especially Word and Excel.
  • Exceptional attention to detail and strong organizational skills required.
  • Ability to handle sensitive information with confidentiality and professionalism.
  • Excellent written and verbal communication skills are essential.
