Job Description

We are seeking an experienced and proactive Senior Executive Assistant to provide high-level administrative support to top executives within our organization. The ideal candidate will be a self-starter with exceptional organizational skills, a high degree of professionalism, and the ability to handle sensitive information with discretion. As a Senior Executive Assistant, you will play a critical role in ensuring the smooth and efficient operation of the executive office, overseeing a variety of tasks ranging from managing executive schedules to preparing detailed reports. Your ability to anticipate needs, think critically, and provide solutions to problems with a high level of professionalism and confidentiality is crucial for this role.


Responsibilities

  • Manage executive calendars, scheduling meetings, and prioritizing appointments efficiently.
  • Coordinate executive communications, including handling emails and interfacing with stakeholders.
  • Prepare and edit reports, presentations, and correspondence for executive review.
  • Assist in organizing and preparing for board meetings and strategic planning sessions.
  • Screen and direct phone calls and distribute correspondence as necessary.
  • Ensure materials are ready for meetings, including reports, presentations, and agendas.
  • Oversee travel arrangements and itineraries for executives, including accommodations.
  • Act as a liaison between executives and other departments within the organization.
  • Manage and track executive expenses and generate expense reports for review.
  • Facilitate contract execution and ensure that all deadlines are met timely.
  • Carry out research and prepare detailed reports on specific topics as required by executives.
  • Support special projects by managing resources, timelines, and deliverables effectively.

Requirements

  • Bachelor's degree in Business Administration, Communications, or related fields preferred.
  • A minimum of 5 years of experience as an executive assistant or similar role.
  • Exceptional organizational and time management skills with strong attention to detail.
  • Proficiency in MS Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Outstanding verbal and written communication skills are essential for this position.
  • Ability to maintain a high level of confidentiality and discretion at all times.
  • Strong problem-solving skills and the ability to adapt to changing priorities.
