Job Description

The Procurement Officer is an integral part of the organization's supply chain team, responsible for acquiring goods and services at the best possible cost, quality, and delivery. The role is crucial for maintaining operational efficiency and ensuring the company remains competitive in the marketplace. As a Procurement Officer, one must possess strong analytical skills, excellent negotiation capabilities, and the ability to foster cooperative relationships with vendors. The person in this role should be detail-oriented, ethically driven, and capable of working under pressure to meet deadlines. The role involves various responsibilities, including sourcing suppliers, managing contracts, and ensuring compliance with procurement policies. The position requires a strategic thinker ready to contribute to the organization's efficiency by optimizing resource procurement.


Responsibilities

  • Identify and evaluate potential suppliers to select those that offer the best services.
  • Negotiate terms and conditions of contracts to secure advantageous deals for the organization.
  • Develop and maintain strategic supplier relationships to ensure uninterrupted supply chains.
  • Ensure compliance with company policies and procedures throughout the procurement process.
  • Conduct market research to understand current industry trends and pricing structures.
  • Analyze and assess supplier performance against set criteria and KPIs.
  • Coordinate with internal departments to determine procurement needs and specifications.
  • Prepare and process purchase orders, ensuring accurate detail and prompt follow-up.
  • Monitor and report on procurement activities to senior management on a regular basis.
  • Address and resolve any procurement-related issues that may arise with suppliers or within the organization.
  • Manage inventory levels to ensure sufficient supply without overstocking.
  • Organize and facilitate regular audits of procurement processes and supplier accounts.

Requirements

  • Bachelor’s degree in supply chain management, business administration, or relevant field.
  • Proven experience as a Procurement Officer or in a similar role for at least two years.
  • Strong negotiation skills to establish and maintain vendor agreements.
  • Excellent analytical abilities to evaluate bids and proposals effectively.
  • Comprehensive understanding of supply chain and procurement systems and processes.
  • Proficiency in procurement software and Microsoft Office suite, especially Excel.
  • Exceptional communication skills, both verbal and written, to liaise with stakeholders.
