The Front Office Assistant is a crucial position within our organization, responsible for managing the first impression of our company. Responsibilities

  • Greet and provide assistance to visitors with a professional demeanor.
  • Manage incoming phone calls and route them to appropriate personnel.
  • Maintain and update appointment calendars for staff members and executives.
  • Provide administrative support such as filing, typing, and preparing documents.
  • Coordinate the distribution and delivery of incoming and outgoing mail.
  • Ensure the front desk and reception area are tidy and presentable at all times.
  • Assist in planning and organizing office events and meetings as required.
  • Handle and process customer inquiries and guide them as necessary.
  • Offer basic book-keeping support for office financial transactions.
  • Monitor office supplies and place orders when necessary to avoid shortages.
  • Implement security protocols by maintaining visitor logs and identification procedures.
  • Collaborate with other team members to support various office operations.

Requirements

  • High school diploma or equivalent; Associate degree is a plus.
  • Proven experience as a front office assistant or similar role is required.
  • Proficient in Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Excellent verbal and written communication skills are essential.
  • Ability to handle multiple tasks with accuracy and efficiency.
  • Strong organizational and time-management skills are necessary attributes.
  • Professional appearance and a welcoming personality are required.
