Job Description

As a Front Desk Receptionist, you will be the first point of contact for our organization and play a pivotal role in creating a welcoming atmosphere for our guests and clients. You will be responsible for managing the front desk operations efficiently, ensuring that all inquiries are handled promptly and professionally. Your role will involve various administrative duties, including handling correspondence, coordinating schedules, and maintaining a tidy reception area. This position is ideal for someone with excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment. Your contributions will significantly affect the customer experience and our team's overall productivity.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office as needed.
  • Answer, screen, and forward incoming phone calls efficiently.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries promptly.
  • Maintain office security by following safety procedures and controlling access.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Update appointment calendars and schedule meetings consistently and accurately.
  • Oversee the general upkeep and order of the front desk area.
  • Assist with the coordination and preparation of office meetings.
  • Support in the organization of company events and activities as required.

Requirements

  • Proven work experience as a Front Desk Receptionist or similar role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Hands-on experience with office equipment, including printers and copiers.
  • Strong communication skills with a focus on customer service excellence.
  • Ability to be resourceful and proactive when issues arise in the office.
  • Excellent organizational skills with an attention to detail and accuracy.
  • Multitasking and time-management skills, with the ability to prioritize tasks effectively.
