An Executive Assistant to CEO is a pivotal role within any organization, providing vital support to the Chief Executive Officer and playing a significant part in ensuring the smooth operation of the executive office. The Executive Assistant is expected to anticipate the CEO's needs, coordinate with various departments, and make sure that the CEO's office runs efficiently. Responsibilities

  • Manage and maintain the CEO’s calendar, ensuring scheduling efficiency and prioritization.
  • Coordinate and facilitate communication between the CEO and internal or external parties.
  • Organize and prepare for meetings, including gathering documents and managing logistics.
  • Serve as the primary point of contact for calls and inquiries directed to the CEO.
  • Draft and edit correspondence, communications, presentations, and other documents for the CEO.
  • Handle confidential information and maintain the privacy of the CEO’s office affairs.
  • Arrange travel plans, itineraries, and agendas, reflecting the CEO’s style and preferences.
  • Support the CEO with project management duties, tracking task progress and deadlines.
  • Act as a liaison between the CEO and department heads for aligning strategic goals.
  • Assist in planning, hosting, and facilitating executive events and board meetings.
  • Monitor and respond to emails promptly, ensuring high-priority issues are addressed first.
  • Oversee administrative processes and procedures, recommending improvements when needed.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Minimum of 5 years of experience in an executive assistant role.
  • Exceptional organizational and multitasking skills in a high-pressure environment.
  • Proficiency in Microsoft Office suite and familiarity with scheduling software.
  • Strong written and verbal communication abilities are essential for this role.
  • Demonstrated ability to maintain discretion and handle highly confidential information.
  • Strong interpersonal skills to work effectively with diverse personalities and senior executives.
