Job Description

The Billing Assistant plays a crucial role in maintaining the financial health of an organization by managing incoming and outgoing invoices. This position requires a detail-oriented individual who can effectively handle customer billing inquiries, process payments, and ensure accurate invoicing. The Billing Assistant is responsible for supporting the billing department with administrative tasks, ensuring all bills are processed in a timely manner, and maintaining financial records accurately. A successful candidate will have a strong understanding of accounting principles, excellent communication skills, and the ability to work under tight deadlines. The position requires proficiency in financial software and spreadsheet applications, and an ability to work independently as well as part of a team.


Responsibilities

  • Prepare and issue accurate invoices to customers on a timely basis.
  • Coordinate with the sales department to ensure invoice accuracy and completeness.
  • Respond to customer billing inquiries and resolve discrepancies promptly.
  • Track and manage accounts receivable to ensure payment timelines are met.
  • Maintain organized and up-to-date billing records and documentation.
  • Assist with month-end and year-end financial closing processes.
  • Reconcile billing records with general ledger accounts regularly.
  • Generate and analyze billing reports for management review.
  • Communicate effectively with team members and external clients regarding billing issues.
  • Verify customer account details and update information as necessary.
  • Process and record incoming payments accurately in the accounting system.
  • Assist in developing and implementing billing policies and procedures for efficiency.

Requirements

  • High school diploma or equivalent; associate degree in finance preferred.
  • Minimum of two years of experience in a billing or accounting role.
  • Proficient in MS Office, particularly Excel, and billing software.
  • Excellent attention to detail with strong analytical skills.
  • Ability to handle confidential information with integrity and professionalism.
  • Strong communication skills for explaining billing processes to clients clearly.
  • Ability to multitask and manage time effectively to meet deadlines.
