Job Description

As a Receptionist, you will be the welcoming face of our company, providing first-class service to our visitors and staff alike. Positioned at the forefront of our office environment, your role will be crucial in shaping the experience and perception of our company as you will be responsible for greeting guests, managing phone lines, and coordinating communications within the office. You are expected to exhibit professionalism, excellent organizational skills, and the ability to handle multiple tasks efficiently. The Receptionist will also provide administrative support to various departments when necessary, contributing significantly to the smooth operation of the office. A pleasant demeanor and the capability to work under pressure are imperative in ensuring our workplace remains an efficient and pleasant environment.


Responsibilities

  • Greet and welcome visitors with a warm, friendly attitude and serve as a representative of our company.
  • Answer, screen, and forward incoming phone calls efficiently to the appropriate recipient.
  • Provide accurate information regarding the company’s services, location, and staff to clients.
  • Manage the reception area, ensuring it remains clean and presentable at all times.
  • Maintain security protocols by following procedures, signing in visitors, and issuing visitor badges.
  • Coordinate incoming and outgoing mail and deliveries, including courier services.
  • Schedule and coordinate appointments and meetings for staff members and management as required.
  • Assist with administrative tasks such as data entry, filing, and photocopying tasks.
  • Support the management team with travel arrangements and related transportation logistics.
  • Monitor and manage office supplies, placing orders when necessary to maintain stock levels.
  • Provide administrative support to various departments, ensuring tasks are completed efficiently.
  • Liaise with building management and maintenance staff to resolve office issues promptly.

Requirements

  • High school diploma or equivalent is required for this position.
  • Prior experience as a receptionist or in a related customer service role is preferred.
  • Proficient in Microsoft Office Suite and familiar with office management tools.
  • Excellent verbal and written communication skills are a must.
  • Strong organizational skills with the ability to multitask effectively.
  • A friendly and approachable demeanor and strong interpersonal skills.
  • Ability to handle stressful situations with professionalism and tact.
