Job Description

The Payroll Executive plays a crucial role in ensuring an organization's employees are paid accurately and on time. This position involves managing payroll operations, troubleshooting payroll issues, and maintaining records that are compliant with all relevant regulations and laws. The Payroll Executive is responsible for processing payroll for all employees, addressing and rectifying any payroll discrepancies, and continuously seeking efficiencies to improve the payroll process. An ideal candidate will have strong analytical skills, an eye for detail, and the ability to stay updated with the latest payroll-related regulations. They must also possess excellent communication and problem-solving abilities to effectively address payroll inquiries from employees and collaborate with other departments, such as HR and finance, to ensure smooth operations.


Responsibilities

  • Process payroll accurately and timely for all employees within the company.
  • Verify working hours and reconcile payroll with approved time sheets and records.
  • Maintain accurate records of payroll transactions and ensure compliance with legal regulations.
  • Resolve payroll discrepancies by collecting and analyzing information effectively.
  • Respond to queries and issues regarding payroll from employees and management.
  • Ensure that all payroll operations maintain compliance with federal, state, and local laws.
  • Compile and analyze payroll data for audits to ensure data integrity and compliance.
  • Coordinate with Human Resources on payroll-related matters and benefit deductions.
  • Prepare and submit regular payroll reports to management and other stakeholders.
  • Implement and recommend improvements to payroll systems and processes for efficiency.
  • Assist with the annual budgeting process concerning payroll and related expenses.
  • Stay updated with changes in payroll laws and regulations affecting employee payments.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
  • Minimum of 3 years experience in payroll processing and administration.
  • Strong knowledge of payroll systems and related software tools is essential.
  • Familiarity with payroll laws, regulations, and best practices is required.
  • Exceptional analytical skills and attention to detail to ensure accuracy.
  • Effective communication skills for clear and concise explanations to employees.
  • Ability to handle sensitive and confidential information with utmost discretion.
  • Proficiency in Microsoft Office, especially in Excel, for data analysis.
  • Experience using payroll systems like ADP, SAP, or similar platforms is preferred.
