The Academic Administration Officer is a pivotal role within an educational institution, tasked with ensuring the smooth and effective administrative functioning of academic departments. This position necessitates a high degree of organizational skill, attention to detail, and the ability to work collaboratively with faculty, students, and other staff members. The officer is responsible for managing the academic calendar, coordinating course registrations, and ensuring compliance with institutional policies and procedures. Additionally, the role involves maintaining accurate academic records, assisting in the preparation of examination timetables, and providing support for curriculum development and review processes. This position demands a proactive professional who can handle multiple tasks concurrently and is committed to enhancing the educational experience for all stakeholders.


Responsibilities

  • Coordinate the academic calendar including scheduling of classes and examinations.
  • Manage student registration processes and resolve any registration related issues.
  • Maintain and update student academic records with accuracy and confidentiality.
  • Assist faculty with classroom management resources and administrative support.
  • Ensure compliance with educational policies, standards, and regulations.
  • Organize and support academic meetings and events, such as graduation ceremonies.
  • Collaborate with faculty to support curriculum development and review processes.
  • Prepare and disseminate academic reports and communication materials to stakeholders.
  • Respond to inquiries from students, parents, and faculty concerning academic issues.
  • Develop and implement administrative systems to improve efficiency and service quality.
  • Provide training and support for staff in academic administrative procedures.
  • Handle special projects and assignments as directed by academic leadership.

Requirements

  • Bachelor’s degree in education, administration, or a related field is required.
  • Proven experience in academic administration or a similar educational environment.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills to work with diverse groups.
  • Proficiency in educational software and related administrative technology.
  • Attention to detail and commitment to maintaining confidentiality and accuracy.
