Job Description

The Service Admin Coordinator plays a crucial role in ensuring the seamless running of an organization's service functions. This position acts as the central point of contact for both internal teams and external clients, guaranteeing that service requests and administrative tasks are handled efficiently. As a Service Admin Coordinator, you will be required to manage schedules, coordinate service order processing, handle client inquiries, and ensure customer satisfaction. Your ability to multitask, organize workflow effectively, and communicate efficiently are key components of your success in this role. You will be expected to support service teams in the execution of their duties and contribute to the improvement of service operations.


Responsibilities

  • Coordinate and schedule service requests to ensure timely responses and resolutions.
  • Serve as a liaison between clients and service teams to address inquiries efficiently.
  • Maintain and update service records with detailed information on client interactions.
  • Assist in preparing and disseminating service reports for management review.
  • Monitor the service help desk, ensuring all tickets are handled appropriately.
  • Support service team members in managing their daily schedules and workloads.
  • Ensure all service-related administrative tasks are completed accurately and timely.
  • Develop and maintain effective communication channels with clients and staff.
  • Implement and optimize service procedures to enhance operational efficiency.
  • Conduct follow-up with clients to ensure satisfaction with services received.
  • Manage inventory and procurement of service-related supplies and equipment.
  • Provide training and assistance to junior team members in administrative tasks.

Requirements

  • Bachelor's degree in business administration, management, or a related field.
  • Proven experience in a service coordination or administrative role is essential.
  • Excellent organizational skills with a strong attention to detail and accuracy.
  • Exceptional communication skills, both written and verbal, are required.
  • Proficiency in using office software, including MS Office and CRM systems.
  • Ability to multitask and effectively prioritize in a fast-paced environment.
  • Strong problem-solving skills with a customer-focused mindset.
