Responsibilities

  • Greet visitors promptly and assist them with their inquiries effectively.
  • Answer, screen, and route phone calls courteously to the appropriate staff.
  • Manage and schedule appointments, ensuring efficient use of time and resources.
  • Maintain and organize a tidy and welcoming reception area at all times.
  • Coordinate mail flow in and out of office, including deliveries and packages.
  • Provide administrative support to various departments as needed.
  • Assist in preparing meeting rooms, including arranging necessary equipment or materials.
  • Handle emergency calls and serve as a point of contact for emergency services as needed.
  • Update visitor logs and ensure security protocols are followed within the premises.
  • Assist in the onboarding process of new employees, providing them with necessary information.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Facilitate communication between departments, fostering a collaborative environment.

Requirements

  • High school diploma or equivalent education is required for this position.
  • Proven experience as a receptionist or in a similar administrative role.
  • Excellent verbal and written communication skills are necessary for this role.
  • Strong organizational skills and the ability to multitask efficiently.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment is essential.
  • Professional demeanor with strong interpersonal skills and customer service orientation.
  • Ability to handle challenging situations with tact, discretion, and resourcefulness.
