Job Description

The Front Desk Receptionist plays a pivotal role in creating a welcoming environment for all clients and visitors. As the first point of contact, this professional is responsible for making a positive first impression and ensuring smooth daily operations at the front desk of our office. With exceptional customer service skills, the receptionist handles incoming communications, manages scheduling, and facilitates communication within the office. This position requires an individual who is organized, detail-oriented, and adept at multitasking in a fast-paced environment. The ideal candidate is friendly, professional, and efficient, ensuring that all visitors receive the highest level of service and assistance.


Responsibilities

  • Greet and welcome visitors as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office location efficiently.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area is tidy and presentable, with all necessary stationery.
  • Maintain appointment schedules and update calendars as necessary.
  • Receive, sort, and distribute daily mail and deliveries accurately.
  • Process and prepare correspondence, reports, and documents as needed.
  • Assist visitors with inquiries and provide accurate information promptly.
  • Coordinate meetings, appointments, and travel arrangements for managers.
  • Manage and monitor office supplies and place orders when necessary.
  • Maintain security by following procedures and controlling access via the reception desk.
  • Perform other clerical receptionist duties such as filing and photocopying.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Hands-on experience with office equipment, like printers and fax machines.
  • Solid written and verbal communication skills in English.
  • Excellent organizational skills with the ability to multitask effectively.
  • High school diploma; additional certification in Office Management is a plus.
  • Professional attitude and appearance with courteous interaction skills.
