Job Description

The Front Desk Executive plays a pivotal role in setting the tone for our organization by delivering a warm and professional first impression for all our visitors, clients, and employees. This position is the front line of our office, responsible for ensuring a smooth and efficient transition into the company for anyone entering our premises. The ideal candidate will possess excellent communication and multitasking skills, a positive attitude, and a strong dedication to providing a welcoming environment. As a Front Desk Executive, you will be expected to manage front desk activities, including greeting guests, handling inquiries, and coordinating with different departments to improve the operational efficiency of the organization. Your ability to stay organized in a fast-paced environment and maintain a professional demeanor at all times is crucial to success in this role.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office confidently.
  • Answer, screen, and forward incoming phone calls promptly and professionally.
  • Ensure reception area is tidy and presentable, with all necessary stationery materials.
  • Provide basic and accurate information in-person and via phone or email.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access.
  • Coordinate appointments and meetings and manage meeting room bookings.
  • Handle specific administrative tasks such as filing, scanning, and data entry.
  • Assist in preparing reports and maintaining accurate visitor logs.
  • Manage office supplies inventory and place orders when needed.
  • Perform other clerical receptionist duties like photocopying and faxing diligently.

Requirements

  • Proven work experience as a front desk representative or similar role.
  • Proficiency in Microsoft Office Suite and familiar with office equipment.
  • Solid written and verbal communication skills are a must.
  • Exceptional customer service attitude and adept in managing multiple tasks.
  • Strong organizational skills and the ability to multitask in a busy environment.
  • High school diploma; additional certifications in Office Management is a plus.
  • Professional appearance and excellent communication etiquette at all times.
