Job Description

We are seeking a meticulous and detail-oriented Document Controller to join our team. As a Document Controller, you will play a crucial role in managing, storing, and controlling electronic and hard copy documents within our organization. Your accuracy and organizational skills are essential in ensuring the seamless flow of information, adherence to company standards, and compliance with regulatory requirements. The ideal candidate is experienced with document management software, possesses excellent communication skills, and has a deep understanding of data security practices. This role requires someone who can maintain confidentiality and integrity of sensitive documents while also implementing efficient documentation processes to enhance operational efficiency.


Responsibilities

  • Manage and organize incoming and outgoing project-related documentation efficiently and accurately.
  • Ensure all documents are up-to-date, correctly formatted, and stored appropriately.
  • Develop and implement new processes for document control to enhance efficiency.
  • Collaborate with team members to ensure compliance with document control standards.
  • Maintain the confidentiality of sensitive and confidential business documents and information.
  • Conduct regular audits to ensure integrity and accuracy of data in the document management system.
  • Educate and train team members on document control procedures and best practices.
  • Track and monitor the circulation of documents to ensure timely processing and approval.
  • Coordinate with departments to ensure all documents are maintained within appropriate guidelines.
  • Assist in the retrieval and archiving of documents to support operational needs.
  • Generate reports on document status and provide document-related insights for management.
  • Address issues related to document discrepancies and provide corrective measures promptly.

Requirements

  • Bachelor's degree in Business Administration, Information Management, or a related field.
  • Proven experience working as a Document Controller or similar role for a minimum of two years.
  • Strong proficiency in document management software and Microsoft Office Suite.
  • Excellent organizational skills with a high attention to detail and accuracy.
  • Strong understanding of data security and confidentiality protocols.
  • Effective communication skills with the ability to work collaboratively in a team.
  • Problem-solving skills and the ability to handle diverse document-related issues efficiently.
