The role of Assistant – Business Support is pivotal in ensuring smooth operational efficiencies within the organization. This position is designed for highly organized individuals capable of managing multiple tasks simultaneously while providing comprehensive administrative support. The ideal candidate will work closely with various departments to support the needs of managers and team leaders, ensuring that day-to-day operations are not only maintained but continually improved. This position requires excellent communication skills, an eye for detail, and the ability to take initiative in problem-solving. By supporting business processes and activities, the Assistant will contribute fundamentally to the efficiency of the business unit and facilitate achievement of organizational goals.


Responsibilities

  • Provide administrative support to department heads and senior management effectively and efficiently.
  • Manage scheduling, coordinate meetings, and organize travel arrangements as needed.
  • Assist in creating presentations and compiling reports for stakeholders and clients.
  • Maintain and update data, documents, and records in digital and physical formats.
  • Respond promptly to inquiries and handle correspondence with professionalism and discretion.
  • Collaborate with the finance department to process invoices and track departmental budgets.
  • Support project management tasks by tracking deadlines and deliverables progress regularly.
  • Coordinate office supplies procurement, ensuring the department has adequate resources available.
  • Assist in the development and implementation of departmental policies and procedures.
  • Participate in and contribute to team meetings, providing insights and support as needed.
  • Handle confidential information with integrity and confidentiality at all times.
  • Facilitate communication between different business units and assist in conflict resolution.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • Proven administrative or assistant experience supporting business operations is essential.
  • Excellent verbal and written communication skills for effective interaction.
  • Proficiency in Microsoft Office Suite and familiarity with office management software.
  • Strong organizational skills with the ability to manage and prioritize tasks efficiently.
  • High level of accuracy and attention to detail in document management.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
