Responsibilities

  • Respond to phone calls and emails professionally, directing inquiries to the relevant departments.
  • Order and maintain office supplies inventory to ensure smooth operations at all times.
  • Coordinate with other administrative staff to facilitate internal communication within departments.
  • Prepare and edit documents, reports, and correspondence as needed by the office staff.
  • Support the implementation of office policies and procedures as directed by office managers.
  • Assist in the preparation of scheduled reports and meeting agendas for internal meetings.
  • Facilitate travel arrangements and manage logistics for office staff when required.
  • Provide general support to visitors, ensuring they are directed to the relevant department.
  • Maintain a clean and organized office environment to promote productivity and efficiency.
  • Assist with special projects and tasks as requested by management or senior staff members.

Requirements

  • High school diploma or equivalent; post-secondary education is a plus.
  • Proven experience as an office assistant or in a similar administrative role.
  • Excellent written and verbal communication skills are required for this role.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
  • Detail-oriented attitude with a commitment to maintain accuracy in tasks undertaken.
  • Ability to work independently as well as collaboratively within a team environment.
  • Reliable and punctual with a proactive approach to task management and problem-solving.
