Job Description

The Front Desk Receptionist plays a vital role in shaping the first impression of a company’s brand. This position requires a friendly and approachable demeanor as the individual will be the first point of contact for all clients, visitors, and guests. The receptionist is responsible for managing a multi-line phone system, scheduling appointments, and providing general administrative support. They serve as a liaison between the public and internal operations. This role demands excellent organizational skills, the ability to handle several tasks simultaneously, and the capability to work under minimal supervision. A successful candidate will possess outstanding client service skills and maintain professionalism in all interactions.


Responsibilities

  • Greet visitors warmly and direct them to the appropriate offices or personnel.
  • Answer and manage incoming phone calls with professionalism and courtesy.
  • Schedule and confirm appointments using an electronic appointment system.
  • Maintain a clean, organized, and welcoming reception area at all times.
  • Provide basic and accurate information in-person and via phone/email.
  • Coordinate with internal staff for meetings and office supplies requisition.
  • Take and distribute accurate messages when required by colleagues.
  • Assist with administrative tasks such as data entry and document preparation.
  • Receive, sort, and distribute daily mail and deliveries promptly.
  • Ensure visitor logbooks and electronic sign-ins are accurately maintained.
  • Identify and report issues that impact the reception area operation immediately.
  • Contribute to team effort by accomplishing related tasks as needed.

Requirements

  • High school diploma or equivalent; further education a plus.
  • Proven work experience as a receptionist or similar role required.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment.
  • Strong verbal and written communication skills are essential.
  • Excellent customer service skills and ability to manage stress effectively.
  • Professional attitude and appearance are a must for this position.
  • Capability to multitask and manage time efficiently in a fast-paced environment.
