Job Description

As a Front Desk Receptionist, you are the first point of contact for our company. Your primary responsibility is to ensure that all visitors receive a warm and professional welcome. You will manage the reception area, ensuring a seamless and efficient experience for guests and staff alike. This role requires exceptional interpersonal skills, attention to detail, and the ability to multitask under pressure. Your role is crucial in maintaining the company's image and safeguarding the smooth operations of the office environment. As a keystone member of the administrative team, you will also support various operational tasks and collaborate with all departments to facilitate smooth communication and operations.


Responsibilities

  • Greet visitors warmly and determine the purpose of their visit.
  • Answer, screen, and forward incoming phone calls efficiently.
  • Receive and distribute daily mail and deliveries promptly.
  • Maintain the security by following procedures and controlling access.
  • Update calendars and schedule meetings and appointments effectively.
  • Assist with administrative duties such as filing, copying, and faxing documents.
  • Coordinate with office managers regarding office supplies and equipment needs.
  • Handle guest inquiries and provide accurate and timely information.
  • Keep front desk tidy and presentable with necessary materials (pens, forms, etc.).
  • Monitor office cleanliness and coordinate maintenance as needed.
  • Handle emergencies appropriately, following safety protocols and procedures.
  • Assist with various tasks from different departments as required.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office management software.
  • Professional attitude and appearance tailored to a corporate environment.
  • Solid written and verbal communication skills are mandatory for the role.
  • Exceptional organizational skills with the ability to prioritize varied tasks.
  • Customer service attitude with strong interpersonal skills and adaptability.
  • Ability to handle stress and delicate situations tactfully and efficiently.
