Job Description

The Admin Officer is a pivotal role within an organization, tasked with ensuring the smooth operation of office tasks and the coherence of administrative aspects. This individual is responsible for organizing, coordinating, and managing day-to-day office operations, which helps in aligning the organizational workflow efficiently. Responsibilities

  • Coordinate office activities and operations to secure efficiency and compliance with company policies.
  • Manage and support administrative staff, ensuring they have the resources needed to perform their tasks.
  • Handle external inquiries and requests, giving an excellent impression of the company’s professionalism.
  • Maintain an effective records management system to ensure easy retrieval of important documents.
  • Prepare and develop reports, presentations, and correspondence accurately and on time.
  • Assist in organizing company events, meetings, and activities to ensure smooth execution.
  • Coordinate travel arrangements and itineraries for staff and executives as needed.
  • Collaborate with finance to ensure timely processing and reconciliation of budgets and expenses.
  • Monitor inventory of office supplies and order new stock as necessary to prevent shortages.
  • Implement and maintain office systems to foster efficiencies and solutions to office management issues.
  • Support the use of technology and office equipment, including troubleshooting any issues that arise.
  • Work closely with other departments and offer administrative support for special projects.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Proven experience as an administrative officer or similar administrative support role.
  • Strong proficiency in MS Office Suite and office management software.
  • Excellent communication skills, both written and verbal, for effective interaction.
  • Exceptional organizational and multitasking abilities to manage multiple priorities simultaneously.
  • Demonstrated ability to work independently and as part of a team effectively.
  • Proactive attitude and problem-solving skills essential for addressing diverse tasks.
