Role Description:

We are looking for an organized and proactive Document Controller with experience in the construction industry to manage and control project documentation across multiple construction projects. The ideal candidate will ensure all documents are accurately received, tracked, and distributed in a timely manner, in compliance with company and project standards. This role is crucial in supporting project teams, consultants, and contractors with the latest document revisions and records.


Key Responsibilities:

  • Manage and maintain an efficient document control system for all project-related documents.

  • Receive, log, track, and distribute engineering drawings, submittals, RFIs, correspondences, and other project documents.

  • Ensure document control procedures are adhered to and that documents are filed systematically (soft and hard copies).

  • Maintain a complete and accurate record of incoming and outgoing documents.

  • Ensure that the latest versions of drawings and documents are readily accessible to all relevant parties.

  • Work closely with project managers, consultants, and site teams to coordinate document submissions and approvals.

  • Archive project documentation upon completion in accordance with company policies.

  • Support audits by providing complete documentation logs and history when required.

  • Implement and maintain version control to avoid duplication or use of outdated information.

  • Monitor deadlines and alert teams for pending document submissions or approvals.


Qualifications and Skills:

  • Diploma or Bachelor's degree in Business Administration, Engineering, or a related field.

  • Minimum 3 years of experience as a Document Controller in a construction or engineering company.

  • Proficiency in document control systems and software (e.g., Aconex, Procore, EDMS, or similar).

  • Excellent organizational and time-management skills.

  • Attention to detail and a strong understanding of construction workflows and documentation processes.

  • Familiar with project submittals, shop drawings, as-built drawings, and construction correspondence.
