Job Description

As a Site Document Controller, you will play a crucial role in managing and maintaining the flow of documents and records within our construction projects. Your meticulous organizational skills will ensure that all documents are up-to-date, easily accessible, and shared with relevant personnel to facilitate efficient project progress. You will be responsible for implementing document control procedures, ensuring compliance with industry standards and company policies. Your role will involve coordinating with project managers, engineers, and other stakeholders to manage document submissions, approvals, and storage. An eye for detail and a commitment to clarity and accuracy are essential as you help streamline projects through diligent document management practices.


Responsibilities

  • Establish and maintain efficient document control processes for project needs.
  • Manage the distribution and communication of documentation to relevant stakeholders.
  • Ensure that all project documents are tracked and accessible using the established filing system.
  • Coordinate with contractors and subcontractors for timely document submissions.
  • Review, update, and distribute project documents promptly and accurately.
  • Maintain up-to-date records of all received and sent project files and documentation.
  • Monitor the adherence to document control procedures and project guidelines.
  • Facilitate document approval processes in coordination with project managers and teams.
  • Conduct regular audits of document control systems to ensure consistency and accuracy.
  • Provide training and support to staff on document control processes and software.
  • Resolve any discrepancies or issues related to project documentation promptly.
  • Ensure compliance with industry standards and regulatory requirements for documentation.

Requirements

  • Bachelor's degree in business, administration, or a related field preferred.
  • At least two years of experience in document control or similar role.
  • Proficiency with document management software and MS Office Suite.
  • Strong organizational skills and excellent attention to detail are a must.
  • Ability to manage multiple tasks and prioritize work effectively.
  • Excellent communication skills, both written and oral, are essential.
  • Familiarity with construction project documentation will be advantageous.
  • Capable of working independently and collaboratively in a team environment.
