Job Description

The Senior Document Controller plays a crucial role in managing and overseeing the entire document control process for a project or organization. This position requires an individual who can manage large volumes of paperwork and digital documentation, ensuring that all documents are stored, distributed, and organized effectively. The Senior Document Controller is responsible for implementing and maintaining document control procedures and systems, ensuring compliance with industry regulations and standards. They act as a key point of contact for document management queries and liaise with various departments to ensure smooth document flow. Their role is critical in preventing document misplacement, ensuring timely submission of documents, and safeguarding sensitive information. This position requires excellent organizational skills, attention to detail, and the ability to work independently as well as part of a team.


Responsibilities

  • Lead the document control team to ensure efficient document processing and storage.
  • Develop and implement document control procedures to manage project documentation.
  • Ensure the accurate and timely distribution of documents to relevant parties.
  • Coordinate with various departments to manage document tracking and retrieval processes.
  • Facilitate the training and mentoring of junior document control staff.
  • Maintain an organized and secure document archive both in physical and digital formats.
  • Review and update document control procedures to maintain compliance with regulations.
  • Conduct regular audits on document management systems to ensure data integrity.
  • Analyze document management trends to improve efficiency and effectiveness in processes.
  • Communicate effectively with project managers and other stakeholders regarding document needs.
  • Monitor the proper handling and processing of confidential and sensitive documents.
  • Manage the transfer and disposal of outdated documents in accordance with legal guidelines.

Requirements

  • Bachelor's degree in Information Management, Business Administration, or related field.
  • Minimum of 5 years' experience in document control or a similar role.
  • Proficiency in document management software and Microsoft Office Suite.
  • Exceptional organizational skills and attention to detail are a must.
  • Strong communication skills to liaise with different departments effectively.
  • Ability to lead a team and work independently under minimal supervision.
  • Knowledge of industry regulations and best practices in document management.
