Job Description

We are seeking an experienced and highly organized Senior Document Controller to join our team. The ideal candidate will have a robust understanding of document control procedures, excellent attention to detail, and the ability to handle multiple tasks in a fast-paced environment. As a Senior Document Controller, you will be responsible for managing and overseeing the document control system, ensuring that all documents are correctly filed, maintained securely, and easily retrievable. You will work closely with various departments to ensure compliance with internal and external document control standards. This role is essential for maintaining the integrity and confidentiality of company documents and supporting project teams by providing timely access to required documentation.


Responsibilities

  • Oversee and manage the entire document control process for all projects.
  • Ensure documentation complies with company and government regulations and standards.
  • Coordinate with project teams to maintain the accuracy of documentation.
  • Develop and implement effective document control procedures and systems.
  • Provide training and guidance to staff on document control systems and procedures.
  • Conduct regular audits to ensure document management compliance and accuracy.
  • Maintain a secure and organized filing system for physical and digital documents.
  • Facilitate the distribution and retrieval of documents as required by project teams.
  • Monitor and track document control activities to ensure timely completion of tasks.
  • Ensure document control database is updated regularly and accurately reflects the actual status.
  • Prepare reports and summaries for management regarding document control activities.
  • Assist in the development of document templates and workflows to improve efficiency.

Requirements

  • Bachelor's degree in Business Administration, Information Management, or a related field.
  • A minimum of 5 years experience in document control, preferably in a senior role.
  • Proficiency in document management systems and practices, including electronic filing systems.
  • Strong organizational skills and keen attention to detail and accuracy.
  • Excellent communication and interpersonal skills with a collaborative mindset.
  • Familiarity with industry standards and best practices in document management.
  • Ability to handle confidential and sensitive information with discretion and care.
  • Proficient in using Microsoft Office Suite and other document management software.
