Job Description

As a Personal Assistant, you will play a crucial role in supporting executives by managing their schedules, handling correspondence, and ensuring the seamless operation of daily activities. This position requires exceptional organizational skills, attention to detail, and the ability to work in a fast-paced environment. Your role will involve various administrative tasks and duties that aid in streamlining operations and enhancing productivity for the executives you support. Responsibilities

  • Manage and optimize executive calendars to maximize efficiency and productivity.
  • Organize and coordinate meetings, appointments, and travel arrangements effectively.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Conduct research on various topics to provide briefings and summaries.
  • Screen and handle telephone calls, emails, and requests with appropriate follow-ups.
  • Assist with the planning and execution of events and executive activities.
  • Maintain office supplies inventory and anticipate procurement needs proactively.
  • Liaise with internal and external contacts on behalf of the executive.
  • Coordinate project-based work and help with information management systems.
  • Maintain confidentiality of sensitive information and documents diligently.
  • Anticipate the needs of the executive to ensure smooth operation daily.
  • Continuously improve administrative procedures and streamline office functions.

Requirements

  • Proven experience as a Personal Assistant or similar administrative role.
  • Excellent organizational and time-management skills are required.
  • Strong written and verbal communication abilities are essential.
  • Ability to work under pressure and manage multiple priorities efficiently.
  • High level of discretion and confidentiality in handling sensitive information.
  • Proficiency in office management software and conducting internet research.
  • Must possess a proactive approach and a problem-solving attitude.
