Job Description

We are seeking an organized, detail-oriented, and highly professional Personal Assistant to join our team and support our busy executives. The ideal candidate will possess excellent communication skills, a keen ability to multi-task, and a proactive approach to solving problems. As a Personal Assistant, you will be responsible for handling a wide array of tasks that ensure the smooth operation of daily activities. This role requires someone who can maintain efficiency in a fast-paced environment, demonstrate discretion with confidential information, and display a positive attitude. If you are adaptable, enjoy helping others, and can manage varying degrees of complexity in your assignments, this position may be perfect for you.


Responsibilities

  • Coordinate and manage schedules, appointments, and meetings with great efficiency.
  • Act as a point of contact between executives and internal or external stakeholders.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Develop and maintain an organized filing system for easy document retrieval.
  • Handle requests and queries appropriately and in a timely manner.
  • Arrange travel accommodations, itineraries, and provide real-time support during trips.
  • Liaise with clients and suppliers to schedule appointments and deliver updates.
  • Perform general office management duties and personal errands as needed.
  • Maintain up-to-date contact lists and database of important references.
  • Monitor and respond to emails with appropriate urgency and care.
  • Assist in the preparation of regularly scheduled reports for supervisory review.
  • Coordinate project-based work and conduct research as needed for specific tasks.

Requirements

  • Proven work experience as a Personal Assistant or in a similar role.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Excellent verbal and written communication skills with a professional demeanor.
  • Ability to uphold a high level of confidentiality and handle sensitive information discreetly.
  • Flexibility to adapt to varying work schedules, including occasional extended hours.
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to manage multiple tasks and prioritize work under tight deadlines.
  • Bachelor’s degree in Business Administration, Management, or related field advantageous.
