We are seeking a motivated and organized Office Services Assistant to join our dynamic team. Responsibilities

  • Coordinate and manage office communications, including answering phone calls and handling emails.
  • Organize and schedule appointments, meetings, and conference calls for team members.
  • Maintain and update office filing systems, both electronic and physical document storage.
  • Order and maintain office supplies inventory, ensuring supplies are always stocked.
  • Assist in the preparation of office-related documentation, reports, and presentations.
  • Welcoming guests and clients upon arrival and directing them to the appropriate personnel.
  • Perform clerical duties such as filing, photocopying, transcribing, and faxing documents.
  • Ensure the cleanliness and organization of common areas, including meeting rooms and kitchen areas.
  • Support the coordination and logistics of corporate events and meetings.
  • Assist staff with administrative tasks to ensure productivity and efficiency.
  • Handle incoming and outgoing mail, packages, and deliveries within the organization.
  • Collaborate with team members to ensure that office processes are stream-lined and efficient.

Requirements

  • High school diploma or equivalent; additional qualifications in office administration preferred.
  • Excellent organizational skills with a high attention to detail and accuracy.
  • Strong communication skills, both written and verbal, for effective serving and support.
  • Proficiency in using office software such as MS Office (Word, Excel, PowerPoint).
  • Ability to handle multiple tasks simultaneously and work under pressure in a fast-paced environment.
  • Previous experience in an office administration or assistant role will be advantageous.
  • Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
