The Office Assistant role at our company, referenced as position 10N25, is an integral part of our administrative team. This position is perfect for a detail-oriented professional who thrives in a fast-paced environment and is adept at multitasking. The Office Assistant will be responsible for providing comprehensive administrative support to ensure the efficient operation of the office. The successful candidate will be skilled in handling a wide variety of tasks ranging from customer service, clerical duties, and handling correspondence to managing schedules and procuring office supplies. As the face of our office, the Office Assistant must have excellent communication skills and a welcoming presence. A high level of integrity, professional demeanor, and ability to ensure confidentiality are core components of this role. The Office Assistant is expected to uphold the company’s standards and contribute positively to the team while facilitating smooth day-to-day office operations.


Responsibilities

  • Answer phone calls and direct calls to appropriate parties promptly and efficiently.
  • Greet visitors warmly and direct them to the appropriate department or person.
  • Manage incoming and outgoing correspondence, including emails, faxes, mail, and packages.
  • Schedule and coordinate meetings, appointments, and travel arrangements for managers and supervisors.
  • Maintain office filing systems and databases in an orderly and confidential manner.
  • Assist with preparing and editing documents, reports, and presentations as required.
  • Monitor and order office supplies ensuring the office is adequately stocked and organized.
  • Provide support in the onboarding process of new hires, including orientation setup.
  • Ensure that the office environment is kept clean, safe, and organized at all times.
  • Assist in compiling data and preparing administrative reports for management review.
  • Participate in general office management tasks such as setting up workstations and IT systems.
  • Support internal and external communications and maintain professional relationships.

Requirements

  • Proven experience as an office assistant or in a relevant administrative role.
  • Excellent communication and interpersonal skills to interact effectively with clients.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Ability to multitask and prioritize work in a fast-paced environment efficiently.
  • Strong organizational and time-management skills with attention to detail.
  • High school diploma required; an Associate’s degree in business administration is preferred.
  • Must maintain a high level of integrity and confidentiality at all times.
