As a Receptionist, you will be the first point of contact for our organization. Your positive attitude and professional demeanor will set the tone for all visitors and callers. In this pivotal role, you will manage the front desk and perform a variety of administrative tasks to support our team. Responsibilities

  • Greet and welcome all visitors with a friendly and professional demeanor.
  • Answer incoming phone calls promptly and direct them to the appropriate department.
  • Manage and maintain the reception area, ensuring it is tidy and presentable at all times.
  • Coordinate visitor check-ins, including signing in and issuing visitor badges as needed.
  • Assist with administrative tasks such as data entry, filing, and photocopying when required.
  • Schedule and confirm appointments or meetings for staff and management.
  • Receive and distribute incoming mail and deliveries promptly and accurately.
  • Provide basic and accurate information in-person and via phone or email.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Coordinate with the facilities team to ensure the reception area is well-equipped and maintained.
  • Support the organization with general administrative duties as needed.
  • Assist in coordinating travel arrangements and handling travel documents for staff when required.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office management software is required.
  • Professional attitude and appearance with exceptional customer service skills.
  • Solid written and verbal communication skills essential for various interactions.
  • Strong organizational skills with the ability to manage multiple tasks effectively.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • High school diploma; additional certification in Office Management is a plus.
