As the first point of contact for our company, the Front Desk Receptionist plays a vital role in creating a welcoming and professional environment for all visitors, clients, and employees. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office promptly and courteously.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Perform other clerical receptionist duties such as filing, photocopying, and transcribing.
  • Manage calendars and assist in scheduling and coordinating meetings and appointments.
  • Keep an accurate log of company visitors, ensuring all visitors sign in and out.
  • Provide basic and accurate information in-person and via phone/email to inquiries.
  • Assist with administrative tasks as assigned by the management team or supervisor.
  • Support the coordination of any company events and meeting room bookings.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Hands-on experience with office equipment like printers and fax machines.
  • Strong communication skills, both in writing and verbally, are essential.
  • Customer service attitude with the ability to handle complaints professionally.
  • Excellent organizational skills with the ability to multitask effectively.
  • High school diploma; additional qualifications will be a plus.
