Job Description

As an Executive Secretary, you will be a pivotal resource for senior executives, providing a seamless interface between them and other departments or external partners. Your role is instrumental in organizing and optimizing the workflow of top-level management, enabling them to focus on strategic decisions. You will manage complex calendars, coordinate meetings, and handle sensitive information with integrity and discretion. A vital part of your job will be to ensure that executive operations run smoothly and efficiently. Success in this position calls for outstanding organizational skills, excellent communication abilities, and the ability to manage various tasks under tight deadlines. Your proactive approach and polished professionalism will contribute significantly to the leadership team’s effectiveness.


Responsibilities

  • Manage and maintain executive schedules, ensuring efficient time management for leadership.
  • Coordinate meetings, conferences, and appointments for senior management members.
  • Draft, review, and finalize correspondence, reports, and communication materials.
  • Screen incoming communications, handling and prioritizing them appropriately.
  • Organize travel arrangements including flights, accommodations, and transport for executives.
  • Develop comprehensive travel itineraries for senior leaders, ensuring seamless travel plans.
  • Monitor executive emails and correspondence, ensuring timely responses are made.
  • Maintain confidential and sensitive information with a high degree of professionalism.
  • Prepare agendas and make necessary documentation for meetings and presentations.
  • Assist in the preparation of executive presentations and reports when needed.
  • Plan and coordinate special events or projects as requested by senior executives.
  • Act as the primary point of contact between executives and internal/external stakeholders.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Proven experience as an executive secretary or similar executive assistant role.
  • Exceptional written and verbal communication skills are essential.
  • Strong organizational skills with an ability to multitask and prioritize.
  • High proficiency in MS Office and other relevant software applications.
  • Discretion and confidentiality are paramount attributes for this position.
  • Ability to work independently with minimal supervision to meet deadlines.
