Job Description

An Executive Secretary plays a crucial role in managing the administrative functions of an executive or a high-level manager within an organization. This role requires adept organizational and communication skills to effectively ensure smooth office operations while supporting the executive in their duties. The Executive Secretary is often the first point of contact for the executive, handling correspondence, scheduling meetings, and maintaining records while ensuring confidentiality and professionalism. Additionally, this position requires the ability to multitask, adapt to fast-paced environments, and manage internal and external communications efficiently. As an integral part of the administrative team, the Executive Secretary contributes to enhancing the productivity of the executive and the broader organization.


Responsibilities

  • Manage the executive’s calendar, including scheduling and organizing meetings and appointments.
  • Prepare and edit correspondence, reports, and presentations with attention to detail.
  • Handle incoming and outgoing communications, filtering and directing as appropriate.
  • Coordinating and managing travel arrangements and itineraries for the executive.
  • Maintain confidential files and records, ensuring information security and accessibility.
  • Assist in the preparation of meeting agendas and take minutes during meetings.
  • Liaise with internal departments and external partners to facilitate communication and collaboration.
  • Track deadlines and follow up on pending issues to ensure timely completion of tasks.
  • Manage office supplies inventory and place orders as necessary to maintain stock levels.
  • Assist in the preparation and processing of expense reports and financial documents.
  • Coordinate the organization of company events, meetings, and conferences as required.
  • Act as a point of contact and interface for visitors and business partners.

Requirements

  • Bachelor's degree in Business Administration or relevant field preferred.
  • Proven experience as an executive secretary or similar administrative role.
  • Strong organizational and time-management skills with attention to detail.
  • Excellent verbal and written communication skills for clear correspondence.
  • Proficiency in Microsoft Office Suite and office management software.
  • Proven ability to handle confidential information with discretion and professionalism.
  • Strong interpersonal skills to effectively interact with staff and external partners.
