Job Description

As an Executive Assistant, your role will be critical to ensuring the smooth and efficient operation of our executive team. You will be the right hand of the executives, providing administrative support and managing high-level projects. Your ability to anticipate the needs of the executives and proactively address them is crucial. You will handle various tasks ranging from managing schedules and communications to organizing meetings and producing reports. This position requires a high level of professionalism, confidentiality, and the ability to prioritize and multitask effectively in a fast-paced environment. You will work closely with executives and act as a liaison with other departments, ensuring the executives’ focus remains on high-priority responsibilities. The ideal candidate is highly organized, has exceptional communication skills, and possesses a keen attention to detail.


Responsibilities

  • Manage and organize the executive's daily schedule and calendar appointments effectively.
  • Prepare and edit correspondence, reports, and presentations with accuracy and professionalism.
  • Coordinate travel arrangements, including booking flights and arranging accommodation.
  • Provide administrative support by handling phone calls and drafting emails.
  • Facilitate communication between executives and internal or external parties.
  • Oversee special projects assigned by the executives, ensuring timely completion.
  • Organize and prepare for executive meetings by sending invitations and agendas.
  • Conduct research and gather information for accurate and timely reporting.
  • Maintain confidentiality of sensitive and private corporate information.
  • Establish and maintain efficient filing and record-keeping systems.
  • Assist in preparing and processing expense reports and reimbursements.
  • Act as a point of contact for executives, addressing inquiries and requests.

Requirements

  • Bachelor’s degree in Business Administration, Communications, or a related field.
  • Minimum of three years of experience in an executive assistant role.
  • Exceptional written and verbal communication skills are crucial for this role.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
  • Demonstrated ability to manage multiple tasks and prioritize effectively.
  • Strong organizational skills, with a high emphasis on attention to detail.
  • Proven ability to handle confidential information with integrity.
