Job Description

An Executive Assistant is a vital position within an organization, providing high-level administrative support to executives and senior management. This role entails managing schedules, organizing meetings, handling correspondence, and facilitating communication between executives and other departments. As an Executive Assistant, you will be responsible for a wide array of tasks, ensuring the smooth and efficient operation of the office. Your role is to help the executives you support make the best use of their time by dealing with secretarial and administrative tasks. You will be expected to be highly organized, discreet, and proactive. The ability to handle sensitive information with integrity and professionalism is crucial, along with the capability to work independently in a dynamic, fast-paced environment.


Responsibilities

  • Manage executive schedules, including appointments, meetings, and travel arrangements efficiently.
  • Coordinate and facilitate communication between executive management and internal/external parties.
  • Prepare, edit, and disseminate various documents, reports, and presentations as required.
  • Handle confidential information and high-level communications with discretion and sensitivity.
  • Plan and organize events, ensuring all logistics are handled professionally and within budget.
  • Act as the point of contact for executives with stakeholders, both internal and external.
  • Conduct research and compile data to assist executives in decision-making processes.
  • Maintain filing systems and office procedures to enhance productivity and efficiency.
  • Screen and prioritize correspondence, emails, and calls for the executive team.
  • Assist in the preparation of executive summaries and board meeting materials.
  • Ensure follow-up on key action items discussed in executive meetings.
  • Manage special projects and initiatives as directed by senior management.

Requirements

  • Bachelor's degree in Business Administration or a related field is preferred.
  • Minimum of 5 years of experience in an executive assistant role or similar position.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills, adept at handling sensitive information.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and related software.
  • Proven ability to work independently and make decisions with minimal supervision.
  • Professional demeanor with a high degree of integrity, discretion, and confidentiality.
