Job Description

The Executive Assistant (03M26) position is a dynamic and pivotal role within our organization, providing high-level support to senior management. As an Executive Assistant, you will be responsible for performing a variety of administrative duties that require exceptional organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The ideal candidate should possess strong communication skills and thrive in a fast-paced environment while maintaining a professional demeanor. The role requires discretion and the ability to handle confidential information. By ensuring that the executive team is well-supported, you play a crucial role in the seamless operation of the company's executive functions, ultimately contributing to the overall success of the organization.


Responsibilities

  • Manage and organize the executive's schedule, appointments, and travel arrangements efficiently.
  • Prepare and edit documents, reports, and presentations for executive-level meetings.
  • Coordinate logistics and communications for meetings, conferences, and special events.
  • Handle confidential information with utmost discretion and maintain confidentiality at all times.
  • Serve as the first point of contact for internal and external stakeholders to the executive.
  • Assist in the preparation and follow-up of correspondences and executive communications.
  • Conduct research and compile data for strategic decision-making processes.
  • Maintain filing and record-keeping systems to ensure easy retrieval and security of information.
  • Provide administrative support for projects by organizing materials and tracking progress.
  • Liaise with the team to ensure smooth communication and workflow across departments.
  • Handle expense reporting and budget tracking for executive activities and projects.
  • Assist the executive team with ad-hoc tasks and initiatives as required.

Requirements

  • Proven experience as an executive assistant or in a similar role preferred.
  • Excellent organizational and time-management skills are essential for role success.
  • Strong written and verbal communication skills are required to perform duties effectively.
  • Proficiency in Microsoft Office Suite and other relevant administrative software necessary.
  • Ability to handle confidential information with discretion and maintain confidentiality.
  • Strong problem-solving skills and attention to detail required for accuracy.
  • Capability to multitask and prioritize tasks efficiently in a fast-paced environment.
