Position Overview

We are seeking an organized, dependable, and detail-oriented Entry-Level Administrative Professional – Operations & Office Support to join our remote team.

This position provides day-to-day administrative and operational support across a range of business activities. Responsibilities include data entry, document preparation, record maintenance, spreadsheet updates, request tracking, digital file organization, internal coordination, and general office support.

The ideal candidate communicates professionally, manages tasks carefully, follows established procedures, and is comfortable using computers, email, spreadsheets, and online business systems.

Key Responsibilities

Administrative & Office Support

  • Provide general administrative and clerical support to assigned teams and departments.
  • Prepare, update, and maintain spreadsheets, forms, lists, trackers, and routine reports.
  • Assist with email, shared inboxes, calendars, and administrative correspondence when assigned.
  • Organize and maintain digital files, folders, records, and administrative resources.
  • Process routine internal requests and assignments.
  • Route documents and information to the appropriate individuals or departments.
  • Assist with scheduling, coordination, and general office-support activities.
  • Complete assigned administrative tasks accurately and within established deadlines.

Operations Support

  • Support routine day-to-day operational activities.
  • Track operational requests, tasks, and assignments from receipt through completion.
  • Maintain status updates, processing logs, and internal trackers.
  • Coordinate routine requests between departments and team members.
  • Follow established workflows and operating procedures.
  • Identify incomplete information or potential processing issues.
  • Escalate unusual, complex, or unresolved matters to the appropriate team member.
  • Assist with recurring operational and administrative processes.

Data Entry & Record Management

  • Enter, update, and maintain information in company systems, databases, and spreadsheets.
  • Review information for accuracy, completeness, and consistency.
  • Verify data against approved source records and documentation.
  • Maintain accurate internal records and processing logs.
  • Identify missing, duplicate, outdated, or inconsistent information.
  • Make routine corrections when authorized.
  • Document completed actions and updates.
  • Protect confidential and sensitive business information.

Document & File Management

  • Prepare, upload, label, categorize, organize, and archive digital documents.
  • Review routine forms and documents for completeness.
  • Maintain electronic filing systems and shared folders.
  • Follow established file-naming, storage, and document-control procedures.
  • Retrieve authorized documents and records when requested.
  • Maintain document-processing and tracking logs.
  • Report missing, incomplete, or inconsistent documentation.
  • Help ensure business records remain organized and accessible.

Task & Request Coordination

  • Receive and process routine administrative and operational requests.
  • Prioritize assigned work according to established guidelines.
  • Track open, pending, and completed tasks.
  • Maintain clear notes regarding work status and completed actions.
  • Monitor deadlines and follow-up requirements.
  • Provide updates on outstanding requests when required.
  • Request clarification when instructions or information are incomplete.
  • Escalate requests requiring specialized assistance or approval.

Quality & Accuracy

  • Review completed work before submission or final processing.
  • Check information for data-entry, formatting, spelling, and documentation errors.
  • Compare entered information with approved source records.
  • Correct routine errors when authorized.
  • Identify and report unresolved discrepancies.
  • Follow established quality-control procedures.
  • Maintain consistent standards of accuracy and completeness.

Communication & Team Coordination

  • Communicate professionally through email, chat, and virtual meetings.
  • Work with colleagues across administrative and operational functions.
  • Share updates regarding assignments, deadlines, and pending requests.
  • Respond to routine internal inquiries professionally.
  • Ask questions when instructions or expectations are unclear.
  • Participate in virtual meetings, onboarding, training, and coaching.
  • Maintain reliable communication during scheduled working hours.
