Job Description

A Document Controller plays a crucial role in maintaining and managing the accurate documentation and record projects in an organization. They ensure that all documents are stored in an organized manner, are easily retrievable, and comply with legal regulations and company policies. They collaborate with various departments to oversee the flow of documents and implement best practices for documentation control. This position requires strong attention to detail, organizational skills, and the ability to work effectively under pressure. A Document Controller is also involved in ensuring that all documentations are up to date and that sensitive information is protected and handled appropriately.


Responsibilities

  • Maintain an organized and accessible digital and physical filing system for company documents.
  • Review documents for accuracy and consistency before filing or distribution.
  • Develop and implement efficient document control processes and standards.
  • Ensure compliance with legal regulations and company policies regarding documentation.
  • Coordinate with various departments to oversee the flow of documents across the organization.
  • Train staff on document control procedures and usage of document management systems.
  • Track and manage document versions to ensure the latest updates are accessible to users.
  • Prepare and maintain documentation and reports for management and audit purposes.
  • Ensure sensitive information is protected and handled in compliance with company policies.
  • Assist in the digitization and electronic archiving of documents to promote paperless processes.
  • Respond to document retrieval requests in a timely and efficient manner.
  • Manage permissions and access control settings within document management systems.

Requirements

  • Bachelor’s degree in information management, business administration, or related field preferred.
  • Proven experience in document control or document management roles.
  • Strong organizational skills and high attention to detail are crucial.
  • Familiarity with document management software and systems is required.
  • Excellent communication and interpersonal skills for effective team collaboration.
  • Ability to work under pressure and manage multiple documentation tasks simultaneously.
  • Knowledge of legal and regulatory requirements relevant to document management.
