The role of an Assistant Administrative Officer is crucial for ensuring the smooth operation of an organization's administrative processes. Responsibilities

  • Coordinate and manage daily administrative tasks and office activities efficiently.
  • Assist in the preparation and drafting of reports, memos, and correspondence.
  • Organize and maintain filing systems both physically and electronically.
  • Schedule meetings, appointments, and coordinate calendars effortlessly.
  • Support the administrative team in project coordination and implementation.
  • Maintain office supplies inventory and place orders when necessary.
  • Facilitate effective communication between departments and external stakeholders.
  • Provide support in organizing company events and training sessions.
  • Ensure compliance with office policies, procedures, and regulations.
  • Prepare and submit timesheets, expense reports, and requisition forms accurately.
  • Handle inquiries and provide prompt assistance to clients and employees.
  • Contribute to the development and improvement of administrative processes.

Requirements

  • Bachelor’s degree in Business Administration or a related field required.
  • Minimum of two years of administrative support experience is essential.
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Exceptional organizational and multitasking capabilities are highly valued.
  • Strong written and verbal communication skills are necessary for success.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Familiarity with office management systems and supervisory skills preferred.
