Responsibilities

  • Manage schedules and coordinate appointments for senior management and team leaders.
  • Organize and maintain paper and electronic files critical for daily business functions.
  • Facilitate communication by drafting, reviewing, and distributing correspondences as needed.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Coordinate and organize meetings, events, and take detailed meeting minutes.
  • Handle incoming inquiries and direct calls to appropriate departments or individuals.
  • Maintain office supplies inventory and place orders when necessary to prevent shortages.
  • Support the development and implementation of office policies and procedures.
  • Assist in the onboarding process of new hires by preparing necessary documents and setup.
  • Collaborate with various departments to cater to administrative requests and queries.
  • Ensure all office equipment is functioning properly and arrange for any needed repairs.

Requirements

  • High school diploma or equivalent is required, with additional administration certification preferred.
  • Proven experience as an administrative assistant or in a relevant administrative role.
  • Proficient in using office software such as Microsoft Office Suite and similar applications.
  • Excellent time management skills and the ability to prioritize tasks effectively.
  • Strong organizational skills with the ability to multi-task responsibly and efficiently.
  • Exceptional written and verbal communication skills essential for interaction with all levels.
  • High degree of professionalism and courtesy must be demonstrated at all times.
  • Detail-oriented with strong problem-solving skills and the ability to foresee issues.
  • Ability to work independently and collaboratively as part of a team effort.
  • Familiarity with basic accounting principles and office management systems preferred.
